Training Centre Terms and Conditions

Version 1.1 — 19 October 2026

1. Provider and scope

The Training Centre is provided by Data Privacy and Data Security Services Limited, trading as Data Privacy Services (DPS), company number HE 432380, registered in Cyprus at Griva Digeni 51, Athineon Court, Office 202, 8047 Paphos, Cyprus. Contact: info@dataprivacyservices.co.uk.

These terms cover standalone paid training purchases and awareness training allocated to existing Enhanced and Premium DPO clients. They apply to new bookings and allocations from 17 October 2026. An existing signed service agreement, order or data processing agreement takes precedence for the services it covers. These terms do not add a training entitlement to a client agreement or replace mandatory consumer rights.

2. Courses, orders and payment

Before booking, check the course, learner quantity, total price, access period and technical requirements shown in the catalogue. Prices are in pounds sterling. The current course offers state No VAT; the total and tax treatment displayed for your selected package apply. There is no automatic renewal or recurring charge.

Online payment uses the checkout linked to the selected package. BACS bookings display the approved bank details and a unique booking reference. Quote that reference and pay the exact total. A booking request, payment-link visit, bank-transfer instruction or return from checkout does not confirm cleared payment or grant access. DPS activates paid places after verifying settlement. We will contact you if the payment cannot be matched or the order cannot be fulfilled; an unfulfilled order will be refunded where payment was received.

The booking contact must be authorised to purchase for the organisation and provide learner details. Keep the booking confirmation and private management link secure. Contact DPS promptly about an incorrect course, amount, email address or duplicate booking.

3. Paid awareness licences — twelve months

Every paid UK Data Protection, EU Data Protection and Information Security Awareness licence is valid for 12 calendar months from the date of purchase. For BACS, this means the date the cleared payment is received. The booking record shows the expiry date after payment confirmation.

All places in a multiple-user package share that purchase date and expiry date. Allocating a learner later does not start a new twelve-month period or extend the package. Unallocated places and unfinished learning expire at the same time. A new purchase is required for a further training period; renewal is not automatic.

The certificate recommends refresher training twelve months after passing. This is a refresher recommendation, not an extension of the purchased licence.

4. Paid DPO course — 180 days

The paid Data Protection Officer Course has a maximum learning period of 180 days from payment confirmation. All places in the same purchase share the expiry date; later allocation does not extend it. Interactive course access ends when the learner passes or the 180-day period expires, whichever happens first.

After passing, the learner can continue to download their certificate and completed-course notes through the learning library, subject to record retention and continued operation of that service. This does not reopen the interactive course or permit a new learner to use the place. Download and keep your own copies. The certificate recommends refresher training two years after passing.

Each paid DPO licence includes six months of free email support from a Data Privacy Services Data Protection Officer, starting on payment confirmation. This covers reasonable questions about the taught content. It does not include outsourced DPO services, legal representation, document drafting, consultancy projects or an emergency response service. Any additional work requires a separate agreement.

4A. Paid DSAR Management course

Data Subject Access Request Management covers ordinary UK and EU GDPR access requests. One named learner licence costs £195; two named learner licences cost £295 in total. No VAT. The selected package and its dedicated payment link determine the total. Payment confirmation is required before access is issued.

Each DSAR licence is valid for twelve calendar months from purchase; all places share the purchase date and expiry. Interactive access ends on passing or expiry, whichever occurs first. Certificate and course notes remain available through the learning library subject to record retention. The recommended refresher is twelve months after passing and does not extend the purchased access.

Each licence includes three months of email support from a Data Privacy Services DPO, starting on payment confirmation. Email info@dataprivacyservices.co.uk with reasonable questions about the taught content. This does not include case-specific consultancy, outsourced DPO services, legal representation, document drafting or emergency response; additional work requires a separate agreement.

This is a standalone paid course. It is not automatically included in Enhanced or Premium DPO awareness entitlements. Completion is not professional accreditation or organisational certification.

5. Named learners, allocation and reports

Each licence is for one named learner using their own email address. Learners must verify that email and must not share access links, accounts or assessment answers. Package capacity is fixed: once all places are allocated, further learners cannot join through that purchase. Completed places cannot be transferred or reused.

Where the package permits deferred allocation, the buyer may allocate places after payment using the private booking page. DPS Admins may also allocate names and issue invitations after verifying cleared payment. Contact DPS to correct a genuine allocation error before learning starts; replacement or additional places are not automatic.

For multiple-user purchases only, the booking contact can view learner progress, completion and refresher information for that purchase and download a CSV report. Individual assessment answers are not included. The purchaser must explain this reporting to learners and protect downloaded reports. A single-user purchase does not include a manager report.

6. Enhanced and Premium DPO clients

The three awareness courses may be allocated through the client record by authorised DPS Admins from 1 January 2027, subject to an active Enhanced or Premium DPO service, the agreed entitlement and any learner limits in the client agreement. The paid DPO course is not included merely because a client has Enhanced or Premium DPO services.

Included client training is supplied under the client service agreement and does not require the client to buy the same entitlement online. Allocation dates, availability and any continued access after a service ends follow that agreement and the assigned training access. The twelve-month paid-awareness licence rule above applies to standalone paid purchases; it does not replace the terms of an included service.

The client is responsible for identifying authorised learners, providing its own workplace policies and reporting contacts, explaining use of training records and maintaining its own compliance evidence. Course completion alone does not establish organisational compliance.

7. Learning, assessment and certificates

Courses are online, self-paced and delivered in English. You need a current browser, internet access and a device able to play the course videos and open PDF files. Captions, transcripts, lesson notes and practical examples support learning. Tell DPS about an accessibility need or a technical barrier so we can discuss suitable assistance.

All required lessons and the final assessment must be completed to obtain the certificate. The pass mark is 80%; the course states the number of questions. Learners can review lessons and retake the full assessment while learning access remains open. Passing records the result and moves the learner to the completed-course library.

The certificate identifies Data Privacy Services as course provider and records completion. It does not confer a statutory DPO licence, an external professional accreditation, a guarantee of employment or a finding that the learner or organisation meets every legal requirement. Training is general educational information; apply your own procedures and seek advice on specific cases.

8. Cancellation, refunds and problems

For a business purchase, contact DPS before any learner starts if you ordered in error. We will consider cancellation, correcting the booking or an agreed alternative. Unused places do not automatically create a refund right after allocation or expiry. This does not affect remedies for a course that was not supplied as agreed.

If you purchase as a consumer rather than mainly for business purposes, you may cancel within fourteen days of contract confirmation where the applicable distance-contract rules provide that right. Email info@dataprivacyservices.co.uk with your name, booking reference and a clear statement that you wish to cancel. No special form is required. You may use: “I give notice that I cancel my training purchase [reference], ordered on [date], name [name], email [email], date [today].”

We do not treat accepting these terms, making payment or using the course as a separate express agreement to waive a consumer cancellation right. Where a statutory cancellation right applies, we honour it unless the legally required separate consent, acknowledgement and confirmation have been obtained. Refunds due under a statutory cancellation will be made within fourteen days of the cancellation notice, using the original payment method unless otherwise agreed, without a refund fee.

If content is faulty, materially misdescribed or inaccessible, contact DPS with the course and problem. We will investigate and provide the correction, repeat performance, extension, price reduction or refund appropriate to the circumstances and applicable law. Nothing here removes mandatory consumer remedies.

9. Materials, availability and acceptable use

Course videos, questions, notes and designs remain the intellectual property of DPS or its licensors. A named learner may download supplied notes and their certificate for personal learning and evidence of completion. An employer may keep authorised completion reports. Do not redistribute, resell, publish, upload to a shared training system or use the materials to train others without written permission.

Do not impersonate another learner, attempt to bypass licence limits, interfere with the service or submit confidential client information unnecessarily. DPS may suspend access where reasonably necessary to investigate misuse, protect security or comply with law, and will explain the reason where lawful. Suspending access does not itself issue a refund.

We may maintain or update the Training Centre and correct course content. If a material interruption prevents access to paid learning, contact DPS so we can arrange an appropriate remedy. We will not use a later terms change to retrospectively reduce the access period or agreed rights of an existing paid purchase.

10. Responsibility, complaints and applicable law

DPS will provide the training with reasonable care and skill. Learners and clients remain responsible for decisions in their own organisations. Nothing excludes liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or liability that cannot lawfully be excluded. Mandatory consumer rights remain unaffected.

Send complaints to info@dataprivacyservices.co.uk, including your booking reference and the outcome sought. We will acknowledge and investigate the complaint. For included services, the agreed complaints and dispute procedure also applies.

A signed service agreement governs applicable law and jurisdiction for the services within it. Otherwise these training terms are governed by the law of England and Wales. A consumer retains the protection of mandatory laws and any right to use the courts of their country of residence. These terms do not restrict the right to complain to a regulator.

You can save or print these terms using your browser. New paid bookings receive a copy with the booking confirmation. Our Training Centre Privacy Policy explains personal information use.
